If you don’t have an edition of Google Workspace that includes Gemini Apps as a core service, you use them as an additional service. To use Gemini Apps as an additional service:
- Access must be enabled by your Google Workspace administrator.
- You will be subject to the Google Terms of Service and Gemini Apps Privacy Notice.
Check if you have access to expanded features & models
Some features and models are only available with certain Google Workspace licenses. To check if you have access to expanded features and models in Gemini Apps:
- Go to gemini.google.com or open the Gemini mobile app.
- Make sure you’re signed into your work or school account.
- At the top, check for the Pro badge. If you find the Pro badge, you have access to expanded features and models.
Tip: If you don’t have access to these features, your Google Workspace administrator needs to upgrade your license to get access.
Enterprise-grade data protections are available with most, but not all, Google Workspace licenses. To check if you have enterprise-grade data protections with your work or school account:
- Go to gemini.google.com.
- Make sure you’re signed into your work or school account.

Gemini Apps limits & upgrades
Gemini Apps has usage limits designed to ensure an optimal experience for everyone. This means we may at times have to cap the number of prompts and conversations you can have within a specific timeframe. Your capacity replenishes regularly, so you can get back to chatting with Gemini Apps soon.
The number of prompts you can use before hitting the limit varies and depends on factors like how long and complex your prompts are, the size and number of files you upload, and the length of your conversations with Gemini Apps.
Gemini Apps will notify you in the app when you are close to reaching your chat capacity for a given period.
If you want additional limits with a work or school Google Account, your organization needs to upgrade to a Google Workspace plan that includes higher limits or a Gemini Education plan. Contact your Google Workspace administrator to request an upgraded license.

What is a context window?
When you upload files to Gemini Apps, it needs to "read" the content to provide useful insights or answers. The context window is like the reading capacity. It determines how much content can be understood together at one time.
Why you might want a larger context window
A larger context window allows Gemini to read and comprehend more. For example, with a 1M token context window, Gemini can understand up to 1,500 pages of text or 30,000 lines of code.
If you exceed the context window, this could lead to responses that don’t take into account all the content provided or miss connections or details throughout the content. This is most relevant for prompts that require attention to many details scattered throughout large files.
Use the Gemini mobile app with a work or school Google Account
Important: If you try to open the Gemini mobile app with an Android Work Profile, you will be brought to the Gemini web app.
What you cannot do in the Gemini mobile appIf you are using a work or school Google Account, some Gemini mobile app features aren’t available.
The following features are not available for users with a work or school Google Account:
- Gemini Live
- Features that are powered by Google Assistant, such quick voice action features
- Users with a work or school Google Account cannot delete chats or create public links for chats

Tip: To use these features, use the Gemini web app.
If you get an error message when you try to access the Gemini mobile app with a work or school account, check the troubleshooting steps below:
- Make sure that you have the most recent version of the Gemini app. In your app store settings, check if there’s an upgrade for the Gemini app.
- If there’s an upgrade available, upgrade to the latest version.
- If there isn’t an upgrade available, move to step 2.
- Contact your Google Workspace administrator to confirm you have access to Gemini Apps.
Activity for users with a work or school Google Account
Manage & delete Gemini Apps activity
For users with a work or school Google Account and access to Gemini Apps, Gemini Apps Activity is on and can’t be turned off and you can’t delete your Gemini Apps activity.
Gemini Apps Activity is on by default.
- When you use the Gemini web app or mobile app with your work or school account, Gemini Apps Activity is on by default and conversation history is saved for 18 months.
- When Gemini Apps Activity is on, it includes activity from the Gemini web and mobile apps. Clearing your Gemini for Google Workspace history from a Workspace app doesn’t affect information saved to Gemini Apps Activity.
- Your admin controls whether Gemini Apps Activity is turned on and how long conversation history is saved.
